Suggested Script for Law Enforcement Requests

In accordance to the HMIS Policies and Procedures, all federal or local Law Enforcement requests for HMIS data must be directed to the HMIS Lead- the San Luis Obispo County Homeless Services Division. To aid in staff responding to these requests, agencies are invited to use the script below:


Suggested Reply:

"Thank you for your request. I'm not authorized to share any client or program information. All client information requests from law enforcement must be directed to our database management agency. I can take your contact information and pass it along so someone can follow up with you directly."


If Request Persists:


"I understand you'd like access to client records. Unfortunately, State and Federal privacy laws prohibit me from doing so. I will reach out to my manager to assist in explaining our privacy standards."


Do not:

  • Share any HMIS or client information
  • Continue with any intake or file review while officers are onsite
  • Confirm or deny whether a person is in the system or being served at your location

Do:

  • Stay calm and professional
  • Ensure that client files or any private information is away from view
  • Refer the request to the HMIS Lead Agency immediately
  • Follow your agency's policies, including documenting the request if required.
