CE | Enrollment Dashboard

This article provides information about available Coordinated Entry reports in Clarity for Data Analysis users. Users must be logged into SLO County Coordinated Entry Project to correctly run and view these reports.

Report Overview

The Coordinated Entry: Enrollment Overview dashboard includes historic enrollment information for Coordinated Entry (CE) enrollments within the analysis period. This dashboard highlights general client counts, assessment details, demographics, and special population statistics, Coordinated Entry Elements review showcasing elements 4.19 Coordinated Entry Assessment and 4.20 Coordinated Entry Event, and an enrollment comparison with year-to-date (YTD) enrollments and related counts for the prior 2 years (mimicking YTD and the total annual enrollment counts).  Additional Coordinated Entry workflow data quality issues have been included in this dashboard to support 4.12 Current Living Situation updates, missing assessments (4.19) and overlapping enrollments.


Running the Dashboard

Reports > Data Analysis> San Luis Obispo Reports> Coordinated Entry (Section Header)> CE | Enrollment Dashboard [20240709]


Report Filters


There are several filters available for the report. Since SLO CoC is a single CoC and we currently only operate a single Permanent Housing Community Queue, several of the filters do not apply.

Some of the key filters and recommended settings include the following:


  • Analysis Period 
    • Select the desired date range for the Analysis Period.  
    • Default: Last 365 Days
    • Recommended: Choose TODAY for current enrollments.
  • Active in Project 
    • Select Yes/No. Active in Project highlights real-time client status and is not impacted by the Analysis Period filter.  
    • Recommended: Select YES to filter only clients with Active Enrollments during the Analysis Period.
  • Assigned Staff Home Agency
    • Select the organization to filter the dashboard by enrollments for agency assessors only.
  • Assessment Name  
    • Select the Assessment Name(s) to include in this dashboard. 
    • Recommended: No filter.
  • Household Type  
    • Select the Enrollment Household Type(s) to include in this dashboard. 
    • Recommended: As desired to view filtered dataset.
  • Veteran Status 
    • Select the Veteran Status(-es) to include in this dashboard.  
    • Recommended: As desired to view filtered dataset.
  • Chronically Homeless 
    • Select the Chronically Homeless Status(-es) to include in this dashboard. 
    • Recommended: As desired to view filtered dataset.
  • Race & Ethnicity
    • Select the Race(s) to include in this dashboard. 
    • Recommended: As desired to view filtered dataset.
  • Gender 
    • Select the Gender(s) to include in this dashboard. 
    • Recommended: As desired to view filtered dataset.

REPORT TILES

TILE DATA INCLUDED
Clients with Active Enrollments in Period (Total Enrollments) Total Clients with an Active Enrollment within the Analysis Period (Total enrollments is a duplicated count)
Clients Still Enrolled Clients with Active Enrollment as of today
Sub-Populations: Adult, Family & TAY Counts Breaks outs for each subpopulation as defined.

DATA QUALITY TILES

TILE DATA INCLUDED
Overlap between CE and Housed PH Enrollments
    • Review both enrollments and update HMID for client in the housing enrollment if client is "Moved-In"
    • Exit the client from Coordinated Entry to appropriate Housing Destination
      • Clarity referrals after 4/1/2024 will do this automatically upon Housing Enrollment.
Assessment Counts/ Scores Total assessments created; assessment score averages
Data Quality Issues - Enrollments Missing Assessments (Export list and review for Crisis Needs Assessment or Housing Needs Assessment)
Missing CLS Clients without a CLS Assessment by "days since" last CLS assessment.
Days since last CLS Detail Export list to review assessments coming due by days and assigned staff.
Missing Referrals to Community Queue Active Housing Needs Assessments with No Referral to CQ.
Community Queue Review

Counts within this subsection highlight clients that were enrolled in a CE program and were on a Community Queue during the Analysis Period.

*Note: The Community Queue Name filter only applies to this section.
