Agency Administrator (Manager) in Clarity
Each Agency in HMIS has at least 1 user designated as an Agency Administrator, called the SLO County Agency Admin 1(Manager) role in Clarity. This article describes the features available to these users and addresses procedures for specific access privileges in Clarity for these users. Agency Administrators should ensure that all end users in their agency are aware of the managers ability to perform these functions, and establish a process to support end users as needed with these database management tools.
ACCESS RIGHTS
- Delete/ Restore Data
- Edit Any Client Profile
- Explore/ Data Analysis
TRAINING
We have created a new course in Talent LMS for this user role. Users can access the training course by logging into Talent LMS and starting Course 06 - Clarity Agency Admin (Manager) Training Course. We will continue to add training materials to the course. Please be sure to take the quiz at the end of each module!
DELETE/ RESTORE DATA
Agency Managers can now delete agency services, enrollments, program enrollments, files and notes. Data that is deleted can also be restored. Watch the training course for more details on how to delete and restore data in HMIS.
EDIT ANY CLIENT PROFILE
Agency Managers can now edit client profile data. Editing client profile data such as first and last name may change meta data in Clarity for the client de-duplication process.
Please verify client data prior to modifying the Clarity Profile.
For example, a social security number change should be verified using a legal document such as a social security card. Veteran status should only be edited after verification from VA Squares or a DD-214. If you aren't sure whether to edit a client profile, please submit a question to the helpdesk and we can assist!
EXPLORE / DATA ANAYSIS
Training on the explore and data analysis features of Clarity is under development. This course will be added to the TalentLMS course and published for Agency Administrator (Managers) by June 1st.
