How to Run Data Analysis Reports in Clarity

Overview

DQ | Services Outside of Enrollments is a Looker-based report that identifies cases where a service record's start and/or end dates fall outside of the start/end dates of its associated enrollment. Impacted service records are typically be excluded from performance reports, leading to inaccurate data.


HMIS System Admins and Agency Managers should use this report to direct data cleanup. Correction may involve changing either the enrollment or service start/end dates.

Filter Controls

Interactive filters enable the end user to dynamically modify the scope of the data returned by the report.

Filter Name Behavior
Reporting Period Filter Limits data set to those records associated with enrollments that overlapped with the selected period for at least one day.
Agency Name Limits data set to enrollments associated with projects of the selected agencies.
Project Name Limits data set to enrollments associated with the selected programs.

Dashboard Tiles

The table(s) below detail the individual tiles present in the dashboard. Tiles are listed in order of appearance on the dashboard (from top-left to bottom-right). If applicable, sets of tiles are grouped by section, mirroring dashboard layout.


Exits Before Entry

If an enrollment's exit date precedes its entry date, all of its services will appear as "out of range." For this reason, it is advised that users correct the issues identified in this section first.

Tile Name Description
Exit Before Entry Displays a count of enrollments by project where the exit dates precede the entry date.
Exit Before Entry Detail Provides a detailed list of enrollment records whose exit dates precede their entry dates.

Issue Categories

Bar chart that displays the number of services with errors by issue type:

  • Service Starts Before Enrollment
  • Service Entirely Pre-Enrollment
  • Service Starts After Enrollment
  • Service Ends After Enrollment
  • Enrollment Within Larger Service Range
Count of Issues by Project Breaks out the count of identified issues by affected project. Sorted descending by number of issues.
Issue Detail Displays all enrollment records for which there are out-of-range services.
