Overview
The DQ | Privacy Audit Report is a Looker-based report designed to identify client profile and enrollment records that were marked “private” in the privacy settings.
Client Level Privacy Toggles
This section of the dashboard includes tiles with records that were privatized at the global level including the client profile, client notes, and client files. The section below will show where to find client level data marked as private in Clarity.
Client Profile
Client records that appear on this tile had “Private” selected in the privacy settings by the agency that created the Client Profile. This is a data quality error and should be corrected by the agency that created the profile. The workflow to privatize a client record properly is linked here.
Client Notes
Notes recorded at the global level of the profile and marked private.
Client Files
Files recorded at the global level of the profile and marked private.
Enrollment Level Privacy Toggles
This section of the dashboard includes tiles with records that were privatized within a specific enrollment. Each row will identify the program name in which the record was privatized.
Enrollments
An enrollment is marked private from the assigned staff section of the enrollment.
Private Assessment
A program level assessment is marked private in the program enrollment.
Private Services
Services recorded within a program enrollment and marked as private.
Report Parameters
Report Filters
Agency Name- The report requires an agency to be selected prior to run.
Program Name- An optional filter to show results for specific program(s).
Client Level Private Toggles Filters
Client Profile
Agency that created Client Profile – The agency that created the client profile.
User Created – The staff member that created the client profile.
Date Created Date – The date the client profile was created.
User Updating – The staff member that updates the client profile.
Date Updated – The date the client profile was last updated.
Client Notes
Agency – The agency associated with the client note.
Staff – The staff member who entered the client note.
Case Note Date – The date that the case note was entered into Clarity at the client profile level.
Title – The title of the case note.
Date Updated Date – The date the case note was last updated.
Files
Agency Uploaded – The agency that uploaded the client file.
Client File User Created – The staff member that created the client file.
Client File Date Created Date – The date the client file was created.
Client File User Updated – The staff member that marked the client file as private.
Last Updated Date – The date the client file was last updated.
Client File Category – The category of the client file.
Client File Name – The name of the client file.
Enrollment Level Private Toggles Filters
Enrollments
Agency Name – The agency associated with the enrollment record.
Name – The name of the project associated with the enrollment record.
Project Start Date – The date the client entered into the project.
Project Exit Date – The date the client exited the project.
Private (Yes/No) – This indicates if the enrollment record is marked as private.
Enrollment ID – The enrollment ID associated with the client.
Assigned Staff - The staff member who is assigned to the client enrollment.
User Updating – The staff member updating the client enrollment and marked the enrollment as private.
Assessments
Assessing Agency Name – The agency conducting the assessment.
Assessing Program – The program the assessment is completed under.
Private (Yes/No) – This indicates if the enrollment record is marked as private.
Assessment Date – The date the assessment was conducted.
Name – The name of the assessment.
Assessment ID – The ID associated with the assessment.
Assessing Program Enrollment ID – The ID associated with the program the assessment is completed under.
User Creating – The staff member who created the assessment record.
User Updating – The staff member updating the assessment record and marked the record as private.
Services
Agency Name – the agency associated with the services record.
Program Name – The program that provided the services to the client.
Private (Yes/No) – This indicates if the enrollment record is marked as private.
Project Start Date – The date the client entered into the project.
Project Exit Date – The date the client exited the project.
Services Start Date – The date that the client began receiving a service(s) through the program.
Service Name – The name of the service the client received through the program.
Service Item Name – The name of the service item(s) administered through the program.
Service ID – The ID number associated with the service.
Enrollment ID – The ID associated with the client enrollment.
User Creating – The staff member who created the services record.
User Updating – The staff member who is updating the record and marked the record as private.
Program Notes
Agency – The agency associated with the program note.
Name – The name of the program assigned to the program note record.
Private (Yes/No) – This indicates if the enrollment record is marked as private.
Case Note Date – The date that the program note was entered into Clarity at the enrollment level.
Title – The title of the program note.
Deleted (Yes/No) – This indicates if the program note has been deleted.
Note ID – The ID associated with the program note.
Enrollment ID – The ID associated with the client enrollment.
Staff – The staff member who entered the program note.
