How to Run Data Analysis Reports in Clarity


Interactive Filters

Interactive filters enable the end user to dynamically modify the scope of the data returned by the report.

Filter Name Behavior
Reporting Period Filter Limits data set to selected time period. Defaults to results within the current quarter.
Assigned Staff Home Agency Limits data set by selected agencies (optional filter).

The purpose of this report is to monitor data quality within the coordinated entry program and to ensure active clients remain enrolled in the coordinated entry program and active on the community queue by monitoring latest activity.


1.       Missing/List of clients missing an ROI ROI- Tile with a count of the number of people enrolled in the San Luis Obispo Coordinated Entry Program with a missing ROI.

List of clients missing and ROI- List of the count of client missing an ROI. This tile includes the current program enrollment and current assigned staff associated with those enrollments to support data quality clean up.

2.       Missing a CLS in the last 60-90 days, or 91+ Days

A current living situation assessment should be completed with the client every time there is an interaction between the client and a staff member.

Auto exits occur after 90 days of inactivity.

Enrollments with 60-90 days since last CLS, will display a list of clients that should have a CLS recorded as soon as possible to avoid possibility of auto-exit due to inactivity.

Enrollments with 91+ days since last CLS will display a list of clients that should have a CLS recorded as soon as possible. If a client appears in this list, they are not auto exited. A different assessment, service, or case note was recorded to keep the client active in the coordinated entry program. Since a CLS should be recorded for each meeting with the client, this is a data quality issue in which staff should record a CLS to correspond with the other system action documenting a client interaction.

3.      Missing Annual Update

Clients who have been enrolled in the Coordinated Entry for a year a required to complete an annual assessment. Annual assessments can be completed 60 days before the anniversary date or 60 days after the anniversary date.


4.      Profile Completeness

This tile shows a count of the errors that appear on the profile screen or on enrollment screen. Click on the number to get a list of clients with one of the types of errors listed below:

SSN Issue Count

Name Issue Count

Name Data Quality Issue Count

DOB Issue Count

Race and Ethnicity Issue Count

Gender Issue Count

Veteran Status Issue Count

Profile Screen Errors

Count of Enrollments with Error

Percent of Enrollment with Errors


5.      Clients who Exited in the last 90 days

This tile displays a list of clients with the Client ID, Client Full Name, Clarity Unique Identifier, Project Exit Date from the Coordinated Entry program, the exit destination, a list of any staff members assigned to the enrollment (will show more than one staff member, if more than one staff member is assigned to the enrollment, and a list of the home agencies for all staff members assigned to the coordinated entry enrollment.
